What Data We Collect

Data You Provide Directly

When you contact us or submit a form, we collect the information you voluntarily provide:

  • Name
  • Email address
  • Organization or institution
  • Country
  • Message content and inquiry details

This applies to demo requests, Early Access applications, support inquiries, education/venue license inquiries, partnership requests, and general contact forms.

Data Collected Automatically

Our hosting provider (Easyhost) collects standard server logs including:

  • IP address
  • Browser type and version
  • Operating system
  • Requested pages and timestamps
  • Referrer URL

Analytics: No analytics tracking is currently active. If we enable analytics in the future, it will only run after you explicitly consent. See our Cookie Policy.

Future Data Collection

When we launch software sales, we may also collect:

  • License/account data: Name, email, license key, activation records, seat count
  • Payment data: Processed by our payment provider ([To be determined — Stripe or Lemon Squeezy]). We do not store full payment card details.

Legal Basis for Processing (GDPR)

We process personal data under the following legal bases:

  • Contractual necessity — To fulfill license purchases and provide support.
  • Legitimate interest — To respond to inquiries, ensure website security, and prevent fraud.
  • Consent — For analytics, media embeds, and any marketing communications. You can withdraw consent at any time.
  • Legal obligation — To comply with tax, accounting, and regulatory requirements.

Form Submissions

When you submit a form, your data is sent to our configured form-processing provider (if enabled) or handled via email. We only process the data you voluntarily provide for the purpose of responding to your inquiry. We do not use form submissions for marketing without your explicit consent.

Data Sharing and Processors

We do not sell your personal data. We work with a limited number of third-party service providers (subprocessors) who assist us in operating our business.

Total Chaos follows an EU/EEA-first vendor policy. We prefer providers headquartered, hosted, and legally governed in the EU/EEA. Non-EU/EEA providers are used only as documented exceptions when no suitable EU alternative exists, and only after a Data Processing Agreement (DPA) and appropriate transfer safeguards are in place.

International Data Transfers

We avoid transferring personal data outside the EU/EEA where practical. Currently, no international data transfers are occurring — all active processing happens within Belgium via our hosting provider.

If we ever need to engage a non-EU/EEA provider, we will do so only under appropriate safeguards, such as Standard Contractual Clauses (SCCs) approved by the European Commission, or by ensuring the provider operates in a country with an adequacy decision. This will be documented on our Subprocessors page before any transfer occurs.

Data Retention

Security

We take reasonable technical and organizational measures to protect your personal data against unauthorized access, loss, or alteration. Our website is fully static, which reduces the attack surface. Form submissions are handled through reputable providers with encryption in transit.

Children's Privacy

Our website and products are not directed at children under 16. We do not knowingly collect personal data from children under 16. If you believe we have collected such data, please contact us immediately.
